Researching and planning a trip can be overwhelming, and it can take a significant amount of time. As specialists in the travel industry, we can help you take away that stress so you can enjoy looking forward to your travels. Working with us will provide you with valuable expertise backed by a great deal of training, direct connections with suppliers, and first-hand experience in many destinations.
When starting a discussion around your travel needs, it is important for us to listen to what you are looking for and ask a number of questions. The first step is a complimentary consultation that can take up to 30 minutes.
During the initial complimentary consultation, we will get to know each other and discuss options for your trip that best suit your interests and travel style. At this time, we can determine if we should move forward to the next phase of research and planning.
Like any profession, there are fees that are associated with the type of work to be undertaken. Our fee-for-service structure allows us to devote the time and expertise necessary to research and negotiate the best options for our clients.
Since we are not affiliated with any cruise, hotel or tour company, we work for our clients — not the travel vendors. For every client, we work to create the ultimate immersive travel experience.
Per booking. It is due after the initial consultation and before any work begins in planning your trip. This fee includes research, planning, and quote preparation. Once you have confirmed that you are pleased with your itinerary, then all services will be booked, including air, accommodations, land transfers, tours, activities and insurance. Before your journey, you will be provided with important travel tips along with your detailed itinerary.
Per booking. Immersive Travel Experiences waives the planning fee for established clients on cruise-only bookings where the client has picked the destination and route. Clients often receive additional Virtuoso Voyages benefits included in their fare. For pre- and post- cruise itineraries, fees will vary depending on complexity.

Access to your full trip with additional helpful information including city guides, government travel sites (e.g. consulate offices, travel advisories), insurance information, flight updates, and much more. Anything can be added that is important for your trip including attachments that you can access while travelling. It also includes a chat feature.
It is highly recommended that travellers purchase travel insurance for all trips. Fees are not charged for the purchase of travel insurance policies.
These fees are in addition to any cancellation or change fees charged by suppliers including airlines, cruise lines, hotels, and tour operators as outlined in their terms and conditions.
Customized itineraries: $150 cancellation fee to be charged to the credit card on file should the trip be canceled by the client for any reason
Hotels and Cruise: $50 - $150 cancellation fee per hotel room or cruise cabin reservation.
Flights: Any changes or cancellations will require a $50 (domestic) and $100 (international) fee, in addition to any supplier-imposed penalties. Penalties depend on airline booking terms and conditions.
Last minute change fees: $150 change fee should there be last minute trip changes within five (5) days of departure.
NOTE: Prices are in Canadian funds. Taxes are NOT included in the prices listed. Fees are due before any work begins on your trip and are non-refundable or non-transferable once paid.
Prices indicated are starting prices based on a maximum of 2 passengers per household for a booking.
